1. About these terms
DOXBOX is an AI-powered document management and automation platform operated by RMS Techknowledgy Private Limited ("RMS", "we", "us"), based in Karachi, Pakistan. These Terms of Service ("Terms") govern your use of the DOXBOX website and the DOXBOX application (together, the "Service").
By requesting a demo, signing in, or otherwise using the Service, you agree to these Terms. If you use the Service on behalf of an organisation, you confirm that you have authority to bind that organisation, and "you" includes it. If you do not agree, please do not use the Service.
If your organisation has signed a separate written agreement or order form with us, that agreement takes priority over these Terms wherever the two conflict.
2. The service
DOXBOX lets an organisation upload documents; have them read with OCR, classified and their key fields extracted; search them; organise them into cases with approval workflows; compare versions; set retention policies and legal holds; share them securely; and automate reports and webhook notifications based on extracted data. The features available to you depend on your organisation's plan and on your role (for example member, organisation admin or superuser).
We may improve, change or retire features over time. Where a change materially reduces functionality your organisation relies on, we will give reasonable notice.
3. Accounts and security
- Accounts are created by, or on behalf of, an organisation. You must provide accurate information and keep it up to date.
- You are responsible for keeping your password, two-factor authentication device and backup codes secure, and for activity under your account. Tell us promptly if you suspect unauthorised access.
- Organisation admins decide who in their organisation has access and at what role, and are responsible for the users they add and the permissions they grant.
- Do not share accounts. Each account is for one person.
4. Your content
"Your Content" means the documents, files, metadata, tags, cases, comments and other material that you or your users upload to or create in the Service, along with the text and data extracted from them.
- You own Your Content. We do not claim ownership of it.
- You give us permission to process it only as needed to provide and secure the Service for you: storing it, running OCR, classification and extraction, indexing it for search, generating reports and notifications you have configured, and supporting you when you ask for help.
- You are responsible for Your Content. You confirm that you have the right to upload it and that doing so, and having us process it, does not break any law or anyone else's rights. If your documents contain personal data about other people, you are responsible for having a lawful basis for processing it.
- We do not use Your Content to train AI models.
5. Acceptable use
You agree not to:
- upload unlawful material, or material you have no right to store or share;
- attempt to gain unauthorised access to the Service, other organisations' data, or our systems;
- probe, scan or test the security of the Service without our written permission;
- interfere with or overload the Service, or bypass rate limits or access controls;
- upload malware or use the Service to distribute it;
- reverse-engineer, copy or resell the Service, except as allowed by law or your agreement with us;
- use automations, share links or webhooks to send spam or to harass anyone.
6. AI features and automations
DOXBOX uses OCR and machine-learning-based classification and extraction to read documents, and offers an optional feature that drafts automations from a description written in plain English. Please understand what these features are and are not:
- Outputs can be wrong. OCR, classification and extraction are automated and can misread or mislabel a document, particularly poor scans. Each classification comes with a confidence score, and low-confidence extracted fields are flagged for review. You are responsible for checking results before relying on them for financial, legal, compliance or other important decisions.
- You approve automations. A draft produced from plain English is only a pre-filled form. It is not saved or activated until a person on your side reviews and saves it.
- You are responsible for what your automations do. This includes who receives the emailed reports, the contents of those reports, and where webhooks are sent. Please check recipients and conditions carefully.
- The plain-English drafting feature is available only when your organisation has it enabled, and may be subject to a monthly usage limit and separate charges.
7. Storage, sharing and retention
- Your own storage. If your organisation connects its own storage (for example AWS S3, DigitalOcean Spaces or MinIO), you are responsible for that storage account, its credentials, its configuration and any costs it incurs. We are not responsible for loss or exposure caused by how it is set up or managed.
- Share links. When you create a share link, anyone who has the link (and the password, if you set one) can access the document as permitted until the link expires or is revoked. Choose expiry, password and view or download permissions with care.
- Retention, legal hold and deletion. Your organisation configures retention policies and legal holds, and decides when documents are deleted. Deletion may be permanent and we may be unable to recover deleted documents. Legal and regulatory retention obligations are your organisation's responsibility.
- Storage quotas may apply to your organisation. We may alert you when usage nears the limit.
8. Fees and subscriptions
Access to the Service is provided under a subscription or agreement with your organisation. Fees, billing terms, and any usage limits are set out in your order form or agreement. Unless it says otherwise, fees are non-refundable, and you are responsible for applicable taxes.
9. Third-party services
The Service works with third-party providers, for example for sending email, protecting our forms against abuse, and, only for the optional plain-English drafting feature, an AI model provider. We describe these in our Privacy Policy. Services and links provided by third parties, including your own storage provider and any system that receives your webhooks, are governed by their own terms, and we are not responsible for them.
10. Our intellectual property
The Service, including its software, design, text, graphics, name and logo, belongs to RMS or its licensors and is protected by intellectual property laws. Subject to these Terms, we grant you a limited, non-exclusive, non-transferable right to use the Service for your organisation's internal business purposes. We are happy to receive feedback and may use it to improve the Service without obligation to you.
11. Disclaimers
We work hard to keep DOXBOX reliable and secure, but the Service is provided "as is" and "as available". To the fullest extent permitted by law, we do not promise that the Service will be uninterrupted or error-free, or that extracted data, classifications or search results will be complete or accurate, and we disclaim all implied warranties, including merchantability, fitness for a particular purpose and non-infringement. Nothing in the Service is legal, tax, financial or compliance advice.
12. Limitation of liability
To the fullest extent permitted by law, RMS and its directors, employees and partners will not be liable for any indirect, incidental, special, consequential or punitive damages, or for loss of profits, revenue, goodwill or data, arising out of or connected with your use of the Service. Our total liability for any claim relating to the Service is limited to the fees you paid us for the Service in the twelve months before the event that gave rise to the claim.
Nothing in these Terms limits liability that cannot be limited under applicable law, such as liability for fraud.
13. Suspension and termination
- You may stop using the Service at any time. Your organisation may end its subscription in line with its agreement.
- We may suspend or end access if these Terms are breached, if needed to protect the Service or other users, if required by law, or if fees are unpaid after notice.
- After termination, we will make Your Content available for export for a reasonable period on request, and then delete it in line with our Privacy Policy, unless we must keep it by law.
- Provisions that by their nature should survive termination (such as ownership, disclaimers, limitation of liability and governing law) will survive.
14. Governing law
These Terms are governed by the laws of Pakistan. Any dispute that we cannot resolve informally will be subject to the exclusive jurisdiction of the courts of Karachi, unless your separate agreement with us says otherwise.
15. Changes to these terms
We may update these Terms from time to time. When we make a material change, we will update the date at the top of this page and, where appropriate, notify your organisation's administrators or show a notice in the Service. Continuing to use the Service after a change takes effect means you accept the updated Terms.
